Who we are

Toadmaster is studio software for photo and video businesses. It is run by Existential, from India. For anything about privacy or your data, write to contact@toadmaster.com.

Who this covers

• Studio owners and their team, who sign in to Toadmaster on the web or in the Android app.
• Crew on a studio's roster, who sign in with a phone number and PIN.
• A studio's clients, who send an enquiry, open a quote or a client room.

What Toadmaster keeps

• Sign-in: your name, email and role in the studio. Passwords and crew PINs are stored only as one-way hashes, never as text. If you turn on two-step sign-in, its key is kept too.
• What a studio enters: its studio details, enquiries (names, phone numbers, emails, event dates, places, budgets and notes), quotes, jobs and their tasks, the roster (crew names, phone numbers, emails, roles and rates), the books (money in and out) and to-dos.
• Images a studio uploads: its logo and the pictures on its quotes.
• From a studio's clients: what they type into the studio's enquiry form; the time and IP address each time a quote is opened; and, when a quote is signed or declined, the name, email, signature, reason given, time, IP address and browser details, kept with the quote as a record. Feedback left in a client room is kept with the job.
• To keep sign-in safe: repeated sign-in attempts and form sends are counted against a scrambled form of the IP address, so the site can slow down guessing and spam.

Toadmaster does not ask for card or bank details, and has no advertising or tracking.

How it's used

Only to run Toadmaster: to show each studio its own work, to send its quotes and client rooms to its clients, and to keep accounts secure. Toadmaster does not sell or rent anyone's information.

Studios decide what they record about their clients and crew. If you're a studio's client or crew member, ask the studio first. You can also write to us.

Cookies

One cookie, tmsid, keeps you signed in. It ends when you close the browser or sign out. There are no advertising or analytics cookies.

Other services

• Hostinger hosts the site and stores its data. Like any web server, it keeps standard access logs: IP address, time and page requested.
• Google Fonts: pages load their fonts from Google, so your browser contacts Google's servers.
• cdnjs (Cloudflare): the two-step sign-in setup loads a QR code script from it.
• WhatsApp: when you tap a WhatsApp button, WhatsApp opens with a message ready. Toadmaster sends nothing to WhatsApp itself.

Keeping and deleting

• A studio's information is kept while the studio uses Toadmaster.
• If a studio's trial or paid time ends and isn't renewed, the studio locks 7 days later. We delete the studio and everything in it 90 days after it locks.
• You can ask for your login or a whole studio to be deleted at any time on the deletion page or by email. We check the request with the studio owner and confirm by email before anything is deleted.
• A studio owner can remove a team member's login straight away in Settings, Team.
• Copies can remain in the hosting company's backups until those backups are replaced.

Security

Every page is served over HTTPS. The site's data files can't be opened from the web, and each studio sees only its own information. Studios can turn on two-step sign-in for their team.

Children

Toadmaster is for businesses and is not meant for children.

Changes

When this policy changes, the date at the top changes with it.
